Staff access and till shifts, kept simple

Unlimited team members, roles and PINs for the floor, device permissions and shifts that close with a Z-report.

Updated

What you get

  • Unlimited staff

Every plan includes unlimited team members, so you never pay more to add a waiter.

  • Four roles

Owner, admin, member and viewer. Admins have every permission, viewers can only look, and members can be given extra permissions one by one.

  • PIN sign-in for the floor

Give a staff member a username and a PIN of six digits or more. They sign in to every app with it, with no email needed.

  • Devices with their own rules

Tills, kitchen screens, waiter phones and kiosks have permission presets. Kitchen screens and kiosks run without PINs and stay locked.

  • Shifts that reconcile

Open and close till shifts with a float, and a Z-report that reconciles to your payments, with a manager's approval for risky changes.

What it does

The Team area of the Manager is where you decide who can sign in and what they can do. It covers the people, their roles, the devices they use and the shifts that run on the till. It is built so a manager can set up a new member of staff in a minute.

How it works

  1. In the Manager, open Settings, then Team and devices, and add a person.
  2. Choose a role. Admins can do everything, members can be given extra permissions, and viewers are read only.
  3. For floor staff, give a username and a PIN. They sign in with it on the till, the waiter app, the Manager and the website.
  4. Pair devices and choose a type. Each type carries a checklist of permissions, with presets for the till, the kitchen screen, the waiter handheld and the kiosk.
  5. At the till, staff open a shift and a manager closes it with a Z-report.

Safe by default

A member who is not allowed to manage the team sees a read-only list of who works there, their role and when they were last seen, without emails or permissions. An account locks for a day after 30 wrong secrets. Voiding a payment or paying cash out above your limit needs a manager's PIN, and the Z-report names the approver of every cash movement.

Shifts and cash up

A till shift has an opening float, cash movements and a close. The close can be blind, so the cashier counts without seeing the expected figure. The Z-report reconciles to your payments by acquirer batch, with refunds in their own section, and Till reports in the Manager lets you reopen any past Z-report.

What it does not do

DineHarbor does not build rotas or track hours. It controls access and records till shifts. Use a separate tool for scheduling.

What it replaces

It replaces a shared till login, and sticky notes of PINs. See POS for the till itself and multi location to decide who reaches which site.
